Expensify pricing: Collect and Control, September 2026
Collect at $5 per member per month is the only fixed paid price Expensify publishes; Control is quoted, with $9 per active member per month as its stated floor. A 10-person team pays $50 a month on Collect at the listed rate.
Expensify’s Collect plan costs $5 per member per month. Control has custom pricing, listed as low as $9 per active member per month, and Submit is free for all members.1 Those are the figures on Expensify’s pricing page, checked 28 September 2026. A 10-person team on Collect pays $50 a month at the listed rate. The page doesn’t say whether that rate assumes an annual commitment or card use.

How these prices were checked
Every price here comes from one source: Expensify’s public pricing page at use.expensify.com/pricing, captured on 28 September 2026 and recorded under our research methodology.1 The page carries a currency selector for USD, GBP, AUD, NZD and EUR, and the capture recorded the dollar display.1 The page states no tax treatment, so every figure below is shown as listed, with tax status unknown.
The team-cost figures are our own arithmetic: the listed rate multiplied by 10 people and by 12 months, with the inputs shown in the table. Expensify sits in our spend management category alongside other expense and card systems.
What does each Expensify plan cost?
Expensify lists three plans: Submit at no charge, Collect at $5 per member per month, and Control at a custom price starting as low as $9 per active member per month.1

Expensify’s own answer to “how much does Expensify cost?” is that most businesses start on Collect, and that Control is available at a custom price.1 The $9 figure is therefore a floor. A Control buyer should expect a quote, and the quote is the number to budget against.
The free tier is broader than the plan table suggests. Expensify says SmartScanning receipts, sending and receiving money and chatting with coworkers through New Expensify are always free.1
What counts as a member?
The pricing page doesn’t define a member. It bills Collect “per member” and Control “per active member”, and it never says what makes a member active.1
The difference in wording matters to the bill. Read plainly, Control’s unit excludes members who are not active in a month, while Collect’s unit carries no such qualifier. That reading comes from the wording alone. The page gives no rule for either unit: whether an approver who submits nothing counts, whether an admin counts, or over what period activity is measured.
Expensify’s help centre lists a separate article, “Learn About Billing Terms and Definitions”, under Billing & Subscriptions.3 That article, not the pricing page, is where the definition should sit. Confirm the definition in writing before counting heads for a budget.
The one member count the pricing page does attach to a term is the account manager. Its footnote says that feature is “Available on accounts of 100+ members.”1
What does Expensify cost for a 10-person team?
At the listed rates, 10 people cost $50 a month on Collect and at least $90 a month on Control, assuming all 10 count as billable members.1

The estimate assumes every person is a billable member in every month, the listed dollar rate, no discount and no tax. Control’s figures are floors, because the price is custom.
Ten people is also a boundary on Expensify’s own sign-up path. The homepage splits new companies into “Manage expenses for 1-9 employees” and “Manage expenses for 10+ employees”.4 The pricing page ties neither Collect nor Control to a headcount; it only calls Collect the small business plan and Control the plan for larger businesses.1 A 10-person team can buy either plan on the published terms. The decision changes on features, not headcount: Control is the plan with multiple approval flows, ERP integration with NetSuite or Sage Intacct, SAML/SSO and budgeting.1
What changes the price: annual terms and the Expensify Card
Two levers move the bill: an annual commitment and the Expensify Card. The pricing page says “Discounts are available for annual commitments and when using the Expensify Card.”1
The card lever has a stated ceiling. The plan comparison lists “Save up to 50% on Expensify” under the Expensify Card.1 The homepage says the card “lowers your Expensify bill”.4 Neither page says what spend or share of members on the card earns the full 50%.
The annual lever has no stated size. The page names the discount and gives no percentage.
That leaves one open question for any budget: are $5 and $9 the rates before these discounts, or after them? The page doesn’t say. We have not applied the 50% figure to the team-cost table for that reason. Applying it to a rate that may already include it would halve the bill twice.
The card also pays cash back, which offsets the subscription separately. The footnote reads: “The Expensify Card offers 1% cash back on all US purchases (no minimums) and 2% cash back for monthly spend over $250K.”1 Outside the US, the page states no cash-back rate.
What do Collect and Control include?
Collect covers the core expense cycle plus travel; Control adds approval depth, ERP and HR integrations, single sign-on and budgeting.1

On the plan cards, Collect connects to QuickBooks and Xero, while NetSuite and Sage Intacct appear only under Control.1 A finance team on either of those ERPs should price Control, not Collect.
The page’s larger comparison grid also lists travel, chat, bills and invoicing features.1 The captured page does not show which plan column each of those rows belongs to, so this article does not assign them to a plan.
Why do other published Expensify prices disagree?
Other pages describe earlier billing, or treat the Control floor as a fixed price. The current pricing page lists Control as custom pricing.1
TrustRadius lists Control at “$9 per month / per user” as a flat plan price.2 Its explanatory text describes a monthly fee with an annual commitment, and a table of pay-per-use rates of $10 and $18 per active user per month for Collect and Control.2 Its plan table also names Track and Submit plans limited to 25 SmartScans a month.2 Expensify’s current page shows none of those rates or scan limits.1 Treat those figures as a record of an older billing model, not a current rate.
A Hoppier review updated 29 August 2025 describes Collect as “Ideal for small businesses with up to nine employees”.5 That headcount comes from the review. The current pricing page sets no such limit.1
What the pricing page cannot tell you
The pricing page publishes a unit and a starting rate. It leaves out the terms that decide the final invoice:
- The definition of a member and of an active member.
- Whether $5 and $9 are monthly, annual-commitment or card-discounted rates.
- The size of the annual discount, and the conditions for the full 50% card saving.
- Tax treatment and the exact currency of the dollar figures.
- Control’s actual price for a given team.

Yes, for part of the product. The Submit plan is listed as free for all members, and individuals can use New Expensify with unlimited SmartScans at no charge.1 The page is inconsistent on one point: Submit’s plan card lists categories and tags, while the FAQ says “additional functionality such as expense categorization requires a paid plan”.1 Test categorisation in a free account before relying on it.
Who gets an Expensify account manager?
Accounts of 100 or more members. The pricing page lists an account manager among support features and footnotes it as “Available on accounts of 100+ members.”1 A 10-person team does not qualify on the published terms.
How do you get a Control price?
Ask Expensify for a quote. Control is listed as custom pricing, and the FAQ directs pricing questions to Concierge or concierge@expensify.com.1 Ask for the per-member rate with and without the annual commitment and the Expensify Card, so the discounts can be seen separately.
