How this ranking was built
Glamdring Research ranks alternatives by lowest listed paid plan price per user (or member) per month, using vendor pricing pages. Free tiers sit separately. The model treats unlabelled dollar amounts as USD without conversion; that is not verified vendor currency or tax treatment. Confirm both in the quote. The research methodology sets the source standard.
Original valid captures are dated 28 September 2026; Emburse Spend/Professional product captures are dated 1 October and Concur Expense is dated 2 October.2,3,4,5,7,1,6,8
The sample contains eight candidate products including Expensify. Removing the baseline leaves seven alternatives; excluding account-priced QuickBooks, report-priced Concur Expense and unpriced Emburse Professional leaves four ranked user-rate entries.5,7,8,6,1,2,3,4 Each product contributes one paid entry and ties share a rank. Spend and Professional remain distinct; discounts and feature weights do not alter the order.

Which products require a quote?
Ramp Enterprise, Brex Enterprise and Navan Enterprise direct buyers to custom pricing or a quote, checked 28 September 2026.3,2,4 Emburse Professional’s official pricing page is unpriced and directs buyers to a product demo, checked 1 October 2026.6 These products have no numerical rate to sort into the paid ranking.
| Product | Pricing evidence | Checked date |
|---|---|---|
| Ramp Enterprise | Custom pricing with annual billing.3 | 28 September 2026 |
| Brex Enterprise | Custom pricing.2 | 28 September 2026 |
| Navan Enterprise | “Let’s talk” and “Get a price quote”.4 | 28 September 2026 |
| Emburse Professional | Product-specific pricing page without a numerical subscription rate; demo-led enquiry.6 | 1 October 2026 |
Concur Expense uses another billing unit. Its valid product page, captured 2 October 2026, publishes Base from USD7/report and Plus from USD11/report with unlimited users, while Premium is custom-priced. The amount can vary with monthly commitment.8 Concur stays outside the per-user order; obtain report-volume and commitment terms for a matched quote.
Emburse Spend’s product page publishes Basic and Plus user rates; Professional’s page is unpriced. Both were captured 1 October 2026.1,6 Keep the product name and optional services attached to the quote.
How do billing rules change the decision?
Emburse Spend’s minimum user count, Ramp’s platform fee and Navan’s expensing-user definition change what the listed rate means for a company bill.1,3,4 Use the paid-rate order to shortlist products, then obtain the charge for your own team and required plan.
Emburse Spend’s minimum billing
Emburse Spend bills for at least 15 users even when fewer people submit expenses, checked 1 October 2026.1 Its Basic example gives a minimum charge of US$120 using 15 users at US$8 each.1 An approver counts only if they also submit expenses.1 A low per-user rate therefore needs to be considered alongside the billed minimum.
Basic includes 50 monthly ACH reimbursements; Plus lists unlimited ACH and adds NetSuite, Sage Intacct and enhanced multi-entity controls, checked 1 October 2026.1 Spend supports US-based organisations and reimbursements within the United States only.1 Confirm those requirements before treating Spend as a replacement for a global expense workflow.
Ramp’s additional fee and Brex’s billing basis
Ramp Plus lists “+ Platform fee based on team size”, checked 28 September 2026.3 Its pricing page also says “Save 20% with annual billing”.3 Obtain the platform fee and commitment terms before comparing total costs; the ranked user rate alone leaves that fee out.
Brex Premium’s captured pricing page lists US$12 per user per month, checked 28 September 2026.2 The billing basis attached to that displayed rate is unresolved. Confirm it before comparing an annual commitment with a monthly subscription.
Navan’s monthly expensing users
Navan defines an active expense user as someone who submits a transaction manually or through Navan Connect, checked 28 September 2026.4 Its pricing FAQ says: “Navan Expense is free for the first 5 monthly expensing users, and then is $15 per user per month.”4 Confirm the charge using your expected monthly submitters.
What the ranking cannot tell you
The listed paid rate cannot establish the lowest total cost or identify the best fit among Expensify alternatives. Spend has minimum billing, Ramp adds a platform fee and Navan includes a free-user allowance.1,3,4 Those conditions prevent a universal total-cost winner from following directly from the rate order.
The sample covers only the alternatives with captured official pricing evidence. It makes no lowest-price claim across the whole market. Tax treatment and some billing terms remain unconfirmed. Vendor feature lists also provide no hands-on evidence of receipt accuracy, implementation effort or support quality.
Test a real expense from submission through approval, reimbursement and accounting export. Ask each supplier to price the required configuration and confirm billable users, minimums, fees and renewal terms. Revisit the order when a cited pricing page changes a plan or its conditions. Frequently asked questions
Is Expensify better than QuickBooks?
Choose according to the job: Expensify Collect lists expense and travel approvals, reimbursements and QuickBooks/Xero integrations, while QuickBooks Free lists income and expense tracking and financial reporting.5,7 Both were checked 28 September 2026.5,7 QuickBooks Free includes one user; its paid plans use account subscriptions, so dividing a plan by its user allowance would introduce a different price measure.7 QuickBooks also states that its free plan lacks mobile-app access and third-party integrations.7 A free accounting account therefore needs a separate workflow check before replacing employee expense software.
Are Emburse’s free trials the same as free plans?
No. Emburse Spend advertises a 30-day free trial, while Emburse Professional advertises a 14-day free trial.1,6 Both findings were checked 1 October 2026.1,6 Spend lists paid subscription rates and Professional directs buyers to a demo without listing a numerical rate.1,6 Treat the trial as an evaluation period; confirm the ongoing subscription before moving expense submissions into either product.
